The Role

Reporting to the Senior Manager, Site Services & Security, the Site Services Coordinator will support in-office functions including, but not limited to: maintaining office inventories, assisting with custodial management, performing routine office maintenance, and a variety of other office administration, maintenance, and in-house support needs. The role is primarily located in South San Francisco, CA .


  • Respond to and address Site Services requests

  • Support the Site Services & Security Senior Manager with site related purchases and requests

  • Help manage and keep seating assignment database (OfficeSpace) up to date

  • Oversee administrative office duties including coordinating with vendors

  • Ensure all conference rooms are clean and tidy throughout the day and help resolve room booking conflicts when needed

  • Ensure all security procedures and practices are being followed

  • Coordinate snacks and coffee in the kitchen

  • Cover the front desk, as required to greet visitors and oversee completion of sign-in protocols

  • Help manage our onsite Covid protocols, including weekly onsite testing program

  • Support vendor site visits and contract maintenance services.

  • Help coordinate setup for onsite events, meetings, trainings, etc.

  • Ensure the office is organized and stocked with supplies

  • Ensure safety, security, and cleanliness by developing and enforcing relevant protocols

  • Coordinate and organize new employee workstation and locker setup and changes

  • Coordinate office catering needs and help setup for meetings

  • Member of the Emergency Response Team (ERT) to assist with building emergencies

  • Assist the Site Services team with administrative tasks and participate in special projects as needed

  • Support office relocations; Set up new-hire spaces; Maintain hotel stations for remote workers.

  • Assist in setting up conference rooms and remote video meetings and interviews.

  • Maintain cleanliness and supplies of Mother's room.

  • Review and redirect corporate voicemail and email

Required Qualifications:

  • High School diploma with 5+ years of experience, technical certificate/license or AA degree with 3+ years of experience, BA/BS degree with a 2+ years of experience working within a workplace administration environment

  • Company event planning experience- a plus

  • Ability to interact with a variety of levels of management, employees, and guests

  • Exceptional observational skills and attention to detail

  • Excellent verbal and written communication skills

  • Proactive mindset with a consistently positive attitude (especially in the face of challenges!)

  • Strong commitment to providing responsive, timely and well-implemented solutions

  • Experience in facilities or office management is a plus

  • Ability to lift 20+lbs
