Astellas is announcing a Associate Manager, Office and Business Operations opportunity at their Xyphos site in South San Francisco, CA.


The primary purpose of this role is to provide efficient and effective support not only to Xyphos Leadership Team but also to all research team members to nurture biotech like culture. This position works independently and is responsible for managing site business operations and general office management. Responsibilities include day-to-day improvement/optimization of business operations.

Essential Job Responsibilities:

  • Provides business operations management to Xyphos Leadership (including support arrangement of external meetings, events, external visitors, travel etc.) in collaboration with global Astellas supporting functions and in accordance with Astellas policies.

  • Manages Xyphos purchasing processes in partnership with Astellas Finance/Procurement, providing timely payment of the company's obligations and support monitoring company spend.

  • Manages Xyphos legal/contracting processes, help to proceed with contracting process efficiently in partnership with Astellas Legal.

  • Supports solve and improve IT environment by coordinating with Information System group.

  • Point of contact for external visitors, vendors and interview candidates. Manages the scheduling of interviews, creating agendas and facilitating the onsite experience for candidates (including onboarding document management)

  • Manages Xyphos intranet and external website

  • Maintains and improves workspace, common areas, conference rooms, etc. and maintains inventory, orders and re-stocks office.

  • Interacts with landlord and supports external Facilities Management team.

  • Manages the shipment and receipt of all products, materials, and supplies

  • Facilitates third party vendor/contractor management and act a key point-of-contact for accounts.

  • Performs other duties as assigned or special projects as needed

Quantitative Dimensions:

  • This role is an integral part of the Xyphos team responsible for the oversight of business operations, including the administration of several general office functions including, but not limited to those listed above as essential responsibilities.

  • Must also uphold the highest level of integrity, business professionalism and deal with highly sensitive data with absolute confidentiality

Organizational Context:

  • This position will report to Head of Planning & Operations.

  • May support Japanese expatriate employees depending on location, across all areas of responsibility, ensuring resolution of issues related to their assignments. Assists expatriate employees' adjustment to new business assignment, team integration and cultural assimilation in respective city.



  • BA/BS degree in Business Management, Supply Chain or other related fields.

  • 5-7 years of experience in Office Management, Office Administration type positions, preferentially more than one year experience in the technology, biotech or pharmaceutical industries.

  • Experience with assisting senior level managers or executives

  • Excellent communication, interpersonal, leadership skills and collaboration skills

  • Experience and solid technical proficiency in the Microsoft Office suite

  • Passionate and self-motivated individual who is comfortable in a "highly fluid environment" and transitioning from role-to-role as need requires.

  • Ability to exercise sound judgment, tact, diplomacy, integrity and professionalism in all interactions.

  • Ability to work independently without significant oversight or instruction to achieve results with a high degree of accuracy and attention to detail.

  • Proven track record of excellent judgment, problem resolution, teamwork, some budgeting and/or excel skills, critical thinking skills, and the ability to work under pressure required.


  • Able to learn processes/systems quickly

  • Experience with Adobe products preferred.

  • Prior experience with purchasing and inventory management preferred.

  • Facilities planning and coordination experience

  • Able to set priorities and manage time, manage multiple projects and/or assignments

  • Be able to effectively multi-task and reprioritize as needed; follow through on commitments.
