The Role:
The primary purpose of this role is to provide high efficiency, proactive support to a Astellas Gene Therapies Research Leadership team and RTO Strategy & Project Management team. This position is responsible and accountable for accurate scheduling, planning and internal team communications, working closely with AGT Research Leadership team, with the ability to adjust direction in response to shifting priorities with little limited direct oversight in order to meet the needs of the company and business functions. Responsibilities include calendar management; travel logistics; preparation for external meetings, project planning meetings and associated expense management; Collects, coordinates and maintains confidential and sensitive information.
Essential Job Responsibilities:
Provides business operations management to Astellas Gene Therapies Research Leadership team and RTO Strategy & Project Management team (including support arrangement of external meetings, events, external visitors, etc.) in collaboration with global Astellas supporting functions and in accordance with Astellas policies.
Plays an important role with Astellas Gene Therapies Leadership team, Astellas colleagues at all levels of the organization and external contacts. Leads by example and serves as a role model to colleagues by maintaining a professional attitude, demonstrating executive presence, strong professional communication skills and demonstrates ability to partner with others.
Manage complicated scheduling and calendar demands related to Astellas Gene Therapies Research Leadership team, working across time zones and geographies.
Schedules meetings for multiple personnel and local off-site meetings, ensuring that all facilities adequately meet necessary requirements and are conveniently located.
May provide travel support, expense report management and manages logistics for travel as needed.
Generates professional communications on behalf of leadership team members, in partnership with Global Astellas Comms team, demonstrating strong writing, editing, spelling, grammar, formatting and standard business correspondence skills required for email communications, for internal employees and externally, as needed.
Performs other duties as assigned or special projects as needed, e.g., compliance monitoring, generation of distribution lists and other.
Quantitative Dimensions:
This role is an integral part of the RTO Strategy & Project Management team responsible for facilitating key business operations, scheduling and planning efforts for the AGT-RTO leadership team.
Must also uphold the highest level of integrity, business professionalism and deal with highly sensitive data with absolute confidentiality
Required Qualifications
5-7 years of experience in Office Management, Office Administration type positions in the technology, biotech or pharmaceutical industries required, preferentially including start-up experience while also being comfortable operating with a larger, organizationally structured company
Experience with assisting senior level managers or executives
Excellent communication, interpersonal, leadership skills and collaboration skills
Experience and solid technical proficiency in the Microsoft Office suite
Passionate and self-motivated individual who is comfortable in a “highly fluid environment” and transitioning from role-to-role as need requires.
Ability to exercise sound judgment, tact, diplomacy, integrity and professionalism in all interactions.
Must be circumspect in handling highly confidential and sensitive information. Understands and applies Astellas values, maintains and demonstrates high ethical standards in conducting Astellas business.
Ability to work independently without significant oversight or instruction to achieve results with a high degree of accuracy and attention to detail.
Proven track record of excellent judgment, problem resolution, teamwork, some budgeting and/or excel skills, decision-making skills, and the ability to work under pressure required.
Able to set priorities and manage time, manage multiple projects and/or assignments
Be able to effectively multi-task and reprioritize as needed; follow through on commitments.
Working Conditions
This is an office-centric role that may require working onsite due to the nature of the work.
Remote work from certain states may be permitted in accordance with Astellas' Responsible Flexibility Guidelines
Salary Range: $96,000 $128,000 (NOTE: Final salary could be more or less, based on experience)
