About Astellas Gene Therapies
Astellas Gene Therapies (AGT) is developing genetic medicines for patients with rare, life-threatening diseases. Based on our innovative approach to developing genetic medicines, as well as our industry-leading internal manufacturing capability and expertise, we have become the Astellas Center of Excellence for the newly created Genetic Regulation Focus Area. We are currently exploring three gene therapy modalities: gene replacement, exon skipping gene therapy, and vectorized RNA knockdown, with plans to expand our focus and geographic reach under Astellas. We are based in San Francisco, with manufacturing and laboratory facilities in South San Francisco and Sanford, North Carolina.

The Sr. Administrative Assistant plays a vital role in supporting the Vice President, Program, Portfolio and Operations Strategy and providing key logistical support to the Program Management and Strategy function and administrative support to Global Development Program Leaders, Project Managers and Portfolio Strategy leads as directed (collectively "senior members"). This individual will also have responsibility for supporting the AGT Center of Excellence, Leadership Forum on a week to week basis. Since AGT is a rapidly growing company, the assistant's role offers a wide range of responsibilities with a unique opportunity to be an important and visible contributor to the success of the company. You will be motivated every day by AGT's dedication to bringing the potential of gene therapies to people with serious rare diseases.
The ideal candidate is a self-starter, who develops strong working relationships across functions, and can perform daily duties with minimal supervision. This position will be based in our San Francisco office.
Executive & Team Support:
Manage the calendar of Vice President, Portfolio, Program and Operations Strategy, scheduling of internal and external meetings with other executives and colleagues across Astellas, supporting departmental meetings, managing agendas and actions as needed, and providing assistance in the scheduling of Core Team meetings.
Support making travel arrangements for senior members of the Program Management and Strategy team.
Arrange for team members participation in external meetings and conferences
Processing and coordination of incoming accounts and maintenance of account records, such as Corporate Credit Card statements and prepare expense reports for VP and other senior members as needed
Initiate purchase orders for departmental expenses and receive and process invoices to correct POs
Agenda creation, minute-taking of team meetings, as assigned
General Administrative Support:
Prepares and reviews materials and correspondence for internal and external meetings; ensures VP is prepared
Proactively set up audio and video conferencing as needed for VP and department members
Assist with creation/modification of presentations, spreadsheets, minutes and other various documents
Greet departmental and office visitors and direct them as needed
Coordinate facilities and catering for group lunches, on- and offsite meetings and events
Perform special projects on request
Interface with IT support services for department as needed
Coordinate offsite events for department
5-10 years of previous administrative/executive support experience, at least 4+ years supporting a VP-level executive in a fast-paced, highly collaborative and team driven environment
Motivated self-starter with an ability to anticipate the needs of the VP and senior team members
Highly organized with a strong attention to detail and solid accountability for quality work performance
Must be able to work independently with limited supervision
Customer service focus and professional demeanor in all situations
Flexibility, excellent interpersonal skills, and ability to work well with all levels of internal staff and outside parties, including vendors, contractors, and partners
Ability to maintain confidentiality related to all matters, and understands the sensitivity of daily work that occurs within AGT
Has strong computer literacy, including online document management experience and proficiency in Microsoft Office (Outlook, Excel, Word, & PowerPoint)
Proficient with online document management systems (Box, Sharepoint, etc.)

Associates degree required, preferred Bachelors degree
