Astellas is announcing a Senior Manager/Associate Director, Data Science Business and Operations opportunity in Northbrook, IL. Purpose & Scope: The Senior DS Business and Operations Manager is responsible for the operational oversight and relationship management for the assigned service provider(s), as well as managing activities related to business and operations processes and systems utilized by Data Science (DS), including processes and systems related to budget and contracts management, training, resource management, departmental information sites, metrics and key performance indicators (KPIs). He/She is expected to perform these responsibilities independently, in accordance with applicable processes and standards, and DS Business and Operations Management strategy. Essential Job Responsibilities: Key responsibilities include: Service Provider Management * Member of operational level of the oversight/governance structure. Responsible to ensure communication and flow of information between internal stakeholders and service providers. * Serves as a resource between Astellas functions and service providers to address questions related to resources, processes and procedures, systems, training and quality. * Manages oversight of outsourced activities from the concept/need, to planning and implementation. * Provides input and supports the creation and implementation of repeatable best practices for outsourcing activities and relationship management. * Systems and Process Management * Management and subject matter expert (SME) role for ARIBA related activities, including coordination and when necessary preparation and maintenance of myContract and myBuy requests. * Management of the invoice review process to ensure a timely turnaround and approval by the relevant stakeholders. * Preparation and maintenance of reports for DS service provider assignments, resource forecast and planning. * Maintenance of metrics and KPI reports for DS. * Preparation and maintenance DS Business and Operations Management specific instructions/guidance documentation and trackers. * Primary point of contact for questions related to status of service provider contracts, incl. follow-up and tracking of finalization and signature status. * Management of service provider staff on/off boarding onto Astellas systems and escalation of service provider systems / access related issues. * Project management support for DS general development and non-drug projects. * Supporting preparation and response to audits and inspections. * Maintenance of DS SharePoint and intranet sites. * Coordination and facilitation of meetings, incl. agenda preparation, minutes taking and action log maintenance. * Collaborations * Builds collaborative partnerships with service providers. * Collaborates with peers within DS to resolve service provider related issues and escalate in line with service provider governance structure, when required. * Close collaboration with Quality and Process Operations Strategy (QPOS) and Learning Management System (LMS) Training team on DS training assignments, maintenance of the training curricula and service provide training matrix documents, completing and submitting related forms and communicating with stakeholders, as required. * Collaboration with QPOS and Data Standards team to ensure proper training plan and defined communication structure of standards to service providers. * Collaboration with R&D Procurement/Portfolio Relationship and Sourcing Management (PRSM) to ensure timely execution of contractual agreements. * Collaborate with Information Systems Strategy (ISS) Operational Improvement and Reporting Excellence (OIRE) to ensure proper onboarding and system support for service providers. * Quantitative Dimensions: Responsible for the operational oversight and relationship management of 1-3 service providers and coordination of day-to-day operations of DS organization in relation to budget and contracts management for approximately 10 service providers with approximately 500 ARIBA requests, as well as departmental training, systems and process. Organizational Context: * Reports directly to Director DS Business and Operations Management. * Collaborates and supports peers within DS Business and Operations Management. * Collaborates with cross-functional stakeholders within Data Science organization. * Collaborates, communicates and maintains working relationship with Data Science, Data Science service providers R&D Procurement/PRSM, Finance (Budget & Control, Accounts Payable), QPOS, LMS Training, OIRE, QA and other relevant groups. Qualifications: Required: * Bachelor Degree. * Minimum 7 years of experience in CRO or pharmaceutical industry. * Minimum 3 years of experience in service provider management. * Expert knowledge and understanding of R&D service outsourcing, contracting and invoicing processes. * Strong written and verbal communication skills. * Ability to work independently as well as in a team setting. * Demonstrated ability to develop and maintain effective collaboration relationships with team members and internal/external partners. * Ability to prioritize and organize a high volumes of work and follow a project through to completion, ensuring attention to detail and highest level of accuracy within required timeframe. * Business acumen and strong analytical skills. * Experience working with both internal and external customers and business partners. * Knowledge and/or experience working with groups with varied cultural backgrounds and learning styles. * Demonstrated commitment to achieving results through work efforts and ability to drive for strong results to desired goal completion. * Advanced competency and experience with a variety of computer applications, such as MS Office applications, ARIBA, SAP, learning management systems, Concur and SharePoint. Preferred * Experience in biometrics and/or data management functional areas in pharmaceutical or CRO setting.
