Purpose and Scope:
The Senior Manager, Medical Education Excellence is a strategic partner that works in close collaboration with key stakeholders (MA, Commercial, Legal, Ethics and Compliance) to ensure medical education tools, systems, and processes meet the needs of the organization in a manner consistent with best practices according to industry standards and legal/regulatory agencies. This role will be responsible for identifying innovative medical education tools/technology, as well as opportunities for efficiencies, innovative metrics and KPIs to meet performance and reporting needs. As a subject-matter expert of Medical Education best practices, policies and procedures, this role will ensure that medical education management systems meet regional and global requirements outlined by Astellas SOPs for independent medical education (IME) and Medical Affairs (MA)-initiated medical education activities and meets internal and external stakeholder needs.
Work across the Medical Education group within Medical Communications to facilitate department objectives and communications, as well as MA Governance requirements (including iGBP and Annual Planning process), reporting needs, and supporting operational efforts.
Further responsible for data quality governance of medical education management systems (Medical Affairs Grants Platform (MAGP), GAMMA, Core Medical Plan (CMP) Submission Tool and CMP Tracker). This position will ensure effective collaboration within MA: Holistic Medical Education MA Core team, IME Matrix Team, Regions/Affiliates TA, Medical Communications, MA Operational Excellence, as well as other functions: Commercial, Legal, IT, and Ethics and Compliance.
Essential Job Responsibilities:
Matrix Leadership
Establishes functional excellence for Medical Education activities at all levels of the organization, with a focus on driving innovation
Secretariat of IME Matrix Team, proactively maintains effective interaction and rapport with key regional and affiliate stakeholders to ensure strategic alignment globally and promote the value of IME across Astellas
Works with Medical Education Leads within Medical Communications and regions/geography to ensure a consistent application of Medical Education SOPs and Policy
Partners with the members of the Medical Education team to optimize departmental resources and processes to ensure successful outcomes of the Medical Education group’s strategic objectives
Leads cross-functional working groups with key stakeholders including (but not limited to), MA, Digital Excellence, Ethics and Compliance, Legal IP, and Legal Regulatory to identify and resolve issues related to medical education tools, systems and processes
Innovation
Utilizes advanced understanding and awareness of internal and external environmental changes and opportunities to ensure ongoing innovative enhancements, identification of new medical education tools, and operational efficiencies
Leads implementation of industry knowledge and interpretation of new requirements to anticipate impact to stakeholders relating to Medical Education SOPs and/or Policies and related systems
Business point of contact for Digital Excellence for medical education management tools
MA Governance and Systems
In partnership with the Senior Director, Medical Education and Process & Standards Excellence, creates/updates global medical education processes and policy to ensure IME and MA-initiated medical education meet the needs of the organization in a manner consistent with best practices according to industry standards and legal/regulatory agencies
Develops training materials and provide training on medical education-related best practices and issues across the organization, including MA regions/affiliates and vendors
Partners and supports Medical Education Leads to ensure that central symposium content are available and easily accessible via GAMMA for MA Regions/Affiliates
Provides overall operational oversight and support for the CMP submission tool, CMP tracker and GAMMA, ensuring alignment with MA Governance requirements and relevant SOPs
Identifies and implements continuous improvement opportunities
Provides overall operational oversight and support for the MAGP by driving the integrity and functioning of the MAGP, including system upgrades and identifying continuous improvement opportunities to align the portal with Medical Education processes, proposing and implementing solutions that enhance its effectiveness and efficiency
Manages access to the MAGP and supports the design implementation and maintenance of training programs, and management of post-training reference guides, etc.
Data Quality Governance, Metrics, and Reporting
Responsible for data quality governance for GAMMA, CMP submission tool and CMP tracker; perform compliance monitoring/reporting for educational programs
Monitors MAGP activities to ensure database quality and compliance are in alignment with Medical Education standards
Develops and oversees implementation of report and metrics analyses, in partnership with reporting team, to support successful usage of the global medical education systems, analyze business impact and inform MA teams
Delivers metrics, reporting and analysis of Medical Education programs, including ensuring their dissemination to relevant stakeholders
Quantitative Dimensions:
MAGP support for educational grant program (~10M USD/FY; ~200 grants/year)
Operational support of the global grant program (~2-3M USD/FY)
Support data governance and reporting for MA-led Symposia and Congress Summary Meetings (~4M USD/FY)
Organizational Context:
The position reports to the Sr. Director, Medical Communications Excellence
Collaborates closely with Sr Director and Associate Directors of Medical Education on educational programs, maintenance of medical education management tools and reporting
Collaborates with colleagues across all levels including, but not limited to:

Qualifications:
Required
Bachelor’s Degree
5-7 years’ experience in the healthcare industry, preferably in a medical education facing role
2+ years of experience and proficiency working with medical education tools and/or management systems (e.g., grant portals, Veeva)
Demonstrated ability to manage multiple projects and competing priorities
Demonstrated high level of competence with MS Office applications. Ability to learn new systems and software rapidly – strong IT skillset.
Excellence collaboration and communication skills to facilitate team discussions and drive optimal team performance
Demonstrated ability to operate successfully in a matrix organization
Demonstrated strong interpersonal skills (verbal and written)
Demonstrated effective communication skills (verbal and written) and facilitations skills in leading training initiatives
Ability to meet tight deadlines that may require a flexible work schedule
Preferred
Health Care Professional Degree
Understanding of legal/regulatory/compliance requirements and guidelines with respect to medical education activities within the pharmaceutical industry
Experience working across multiple cultures and countries/regions
Experience in SharePoint
