Purpose and Scope:

The Senior Manager, Data Science Business and Operations Management is responsible for managing activities related to business and operations processes and systems utilized by Data Science (DS). This position may include supporting oversight of the relationship with vendors within DS, contributing to the creation of the annual plan and objectives in collaboration with other members in Business and Operations Management and/or providing support to ensure DS is inspection ready at all times and that procedures, training and inspection readiness activities are being actively supported and managed across DS.

Essential Job Responsibilities:

Vendor Management

  • Management and subject matter expert role for ARIBA related activities, including coordinate and preparation and maintenance of my Contract and myBuy requests.

  • Coordinates the review of invoices to ensure a timeline turnaround time and that the accountable stakeholders are involved.

  • Preparation and maintenance of BOM specific instructions/guidance documentation and trackers.

  • Primary point of contact for questions related to status of contracts including follow up and tracking of finalization and signature status.

  • Identifies process improvement opportunities for all contract and invoice processes.

  • Supports vendor management and oversight activities for one functional area.

Quality and Compliance

  • Supports key DS contact for inspection and audit activities.

  • Supports the management, oversight and closeout of any relevant Corrective and Preventive Action (CAPA) commitments for DS.

  • Serves in LMS Key Contact role and ensures proper consistency, oversight and execution of LMS assignments both internally and with vendors.

  • Member to represent one functional area of DS in all quality and compliance related forums and initiatives.

Strategic Planning and Operational Infrastructure

  • Support the creation of the annual plan and objectives in collaboration with senior leaders in Data Science and responsible to oversee successful execution and delivery.

  • Supports establishment and monitoring of an operational and strategic roadmap.

  • Member to represent DS on committees / forums related to non-drug projects and overall operational portfolio planning.

  • Provides support to oversee Departmental Budget setting and monitoring against spend.

  • Responsible to plan, coordinate and facilitate all Departmental wide meetings.

  • Support a communication plan in place and consistent process within DS as well as provide oversight for communication of staff changes and organizational changes.

  • Provides maintenance of DS SharePoint and Intranet Sites.

Quantitative Dimensions:

  • Supports operational oversight and vendor management activities for 1-4 service providers.

  • Coordinates day-to-day operations in relation to budget and contract management for approximately 10 service providers with approximately 500 ARIBA requests, as well as departmental training, systems and process activities.

  • Supports 1-2 DS functional areas on all inspection, audit and CAPA activities (approximately 1-4 inspections, 15-20 audits and 10-20 CAPAs in a year).

Organizational Context:

  • Reports directly to Senior Director of BOM

  • Collaborates and supports peers within BOM

  • Collaborates with cross-functional stakeholders within DS

  • Collaborates with Development, Astellas Gene Therapy, CRQA, Procurement, Finance, MDSO, IS, Transformation Office

Qualifications:

Required

  • Bachelor's Degree required

  • Minimum 5 years of relevant work experience required

  • Minimum 3 years of CRO or pharmaceutical industry experience

  • Experience working with both internal and external customers and business partners

  • Familiarity with PM methodology

Preferred:

  • Previous experience with biostatistics & statistical programming

  • Previous experience with clinical development medical writing (submission related)

  • Experience with inspections, audits and CAPAs

  • Familiar with GxP procedures & integrity guidelines
