Purpose & Scope:

This position manages the Material Approval Process (MAP) and promotes a high sense of collaboration with both internal and external partners to ensure all promotional development and approval related processes are completed accurately, in a timely manner, and in compliance with Regulatory and Legal standards along with Astellas high performance expectations.

Essential Job Responsibilities:

  • Lead and manage the promotional Material Approval Process (MAP), from early stage project development through review, production, and final distribution. Including document flow, workload volumes, process performance management and issue resolution related to MAP.

  • Manage, mentor and develop the MAP Specialists and Contract Personnel, interact closely with Marketing Product Management, Sales Training, Health Systems, Medical Affairs, Legal, Regulatory, Compliance, IS departments and external agencies; responsible for maintaining/developing relationships.

  • Execute and lead Astellas' high performance and ethical expectations consistently while promoting a high sense of collaboration in the following capacities: ensure all promotional development and approval related processes are completed accurately, in a timely manner, in compliance with regulatory/legal standards.

  • Partner proactively with MAP Operations Management (Sr. Manager, Assistant Director, Assoc. Director of Marketing Materials) and other cross-functional partner management to explore/identify issues and opportunities for improvement to relevant processes efficiencies, review team dynamics, co-promotes etc.

  • Assist Project Owners in the management of project inventory in all aspects including inventory management, budget control, system performance and client / vendor relations.

  • Act as liaison between all MAP process partners to ensure teams are in alignment with commercial strategies and function as a strategic partner to drive collaboration across all MAP Process members such as Marketing, Sales Training, Health Systems, Reimbursement, outside vendors and internal review teams.

  • This position has a responsibility to provide insight to developments or changes in industry use of electronic media and acumen to its significance/impact to MAP; responsibility includes continued development of direct reports pertaining to electronic media project management.

  • Adhere to all SOP 1617 requirements and other related Quality Documents Approval Process.

Quantitative Dimensions:

  • Lead all aspects of and manage day-to-day duties of MAP Specialist(s) and ensure that projects are being completed in a compliant and efficient manner.

  • Conduct regular meetings with direct reports.

Organizational Context:

  • May report to MAP leadership such as Sr. Manager, Assistant Director, Assoc. Director of MAP dependent on current organization structure.

  • This position requires close collaboration with domestic colleagues in Commercial, Medical, Regulatory, Legal, Compliance, IS and all MAP Stakeholders along with interactions with Global partners from various functions.



  • BA or equivalent experience: minimum 5 years' experience in the Pharmaceutical promotional review process. Appropriate knowledge and skills acquired through education (degree), experience in promotional review and specialized training.

  • Project Management experience preferred

  • Commercial print experience preferred

  • Excellent digital literacy (Word, Excel, PowerPoint, Adobe)

  • Excellent organizational skills

  • Customer Service orientated

  • Ability to work independently in addition to team environment

  • Ability to produce quality work under deadline pressure

  • Good oral and written communication skills

  • Able to prioritize and thrive in a fast paced and dynamic environment

  • Experience in well-defined process environment

  • Previous experience in developing or managing a production/review process

  • Possess good people skills (influencing others without authority)


  • B.A. is a preferred.

  • Previous work in a highly regulated area/industry, preferably Pharmaceuticals.

  • Solid understanding of promotional marketing and the CFR requirements.
