Purpose and Scope:
The Associate Director Medical Information Excellence is responsible for the processes, operations and technology that enables the creation and maintenance of the global medical information system and integrations required for medical information (MI) response delivery and content creation in response to unsolicited requests for all ESMA and prioritized global Astellas products. The incumbent is responsible for understanding, consolidating and applying regional and global requirements in addition to industry best practices to maintain a system that supports internal stakeholders in an efficient manner and continuously incorporates their feedback. This position will develop and refine system functionality to align with centralized business processes, create systems training curricula, and support integrations with other technologies across the organization.
Essential Job Responsibilities:
Medical Information Excellence
Business Process Owner for global digital repositories for documentation of unsolicited requests for MI and content across all Astellas priority products / TAs
Create and maintain global MI system, comprised of case management and content components, to align with business processes to be followed by the central MI content teams and each region's contact center team(s)
Oversee and optimize integrations that facilitate bidirectional flow of information to and from internal systems (e.g., Pharmacovigilance, Quality, Data Intelligence, Scientific Content & Insights, Commercial and Medical Field CRM) and external channels (e.g., MA/MI websites, integrated chat, and email)
Continuously analyze end user feedback and monitor platform version releases, identifying areas for improvement and proposing and/or executing on enhancements
Develops and implements training programs for global MI system end users in collaboration with Medical Affairs Training
Works proactively and in collaboration with internal cross-functional and external vendor IS stakeholders to identify and manage constraints and risks, facilitating resolution
Utilizes advanced understanding and awareness of internal and external environmental changes and opportunities to ensure ongoing innovative enhancements and operational efficiencies
Omni-Channel Medical Information
Understand the strategic needs of the broader Omni-Channel digital transformation ambition and enables such transition as relevant
Drives innovative communication methods that improve customer experience and ensure MI communication is timely, relevant and delivered in preferred formats/channels; ensuring that Medical Information delivery is aligned with industry standards and is an industry leader
Governance
Demonstrates mastery of all Astellas and alliance and/or vendor (if applicable) SOPs related to medical information activities and provides audit/inspection support as needed
Owns repository (ies) that enable exchange in response to unsolicited requests and document review and approval of MI content provided in response
Responsible for monitoring if review/approval of MI content is adhering to applicable Astellas standards and procedures, and support (associate) directors MI with resolving/ mitigating non-adherence
Stays current on global and local regulations and guidance that impact interactions with and creation and subsequent delivery of medical information in response to unsolicited requests from external healthcare professionals and patients
Quantitative Dimensions:
Business Process Owner for 1-3 systems and tools associated with MI per assignment of Director MI Excellence (e.g., Mavens Medical Information Cloud, MI content repository)
Global MI system has 400+ users, contains 19K MI content assets, and has 15+ integrations globally
Organizational Context:
Reports into the Director Medical Information Excellence
Leads matrix team consisting of IS vendor team(s) responsible for providing technical support of global MI system content and case management components
Contributes MI technology expertise to Medical Affairs Teams, and other cross-functional workstreams (e.g., Commercial Omnichannel Operations, regional MI/MA channel owner[s])
Collaborates closely with counterpart(s) in Scientific Content & Insights Excellence to ensure consistency across all content assets housed within MA Veeva Vault MedComms, of which MI is a subset
Demonstrate excellent teamwork and partnership with external IS vendors, Medical Communication Team members, Digital Excellence, Data Intelligence, IS, Ethics & Compliance, Legal, Pharmacovigilance, regional partners, as well as within a matrix organization.
Establishes and maintains a relevant network to maintain up-to-date knowledge of industry standards and practices and to anticipate, proactively respond to trends and/or shifts in external environment to predict impact to Medical Communications and/or Astellas businesses
Qualifications
Required
Bachelor's Degree in Health-Related Sciences or Business/IS with prior industry experience in leading team efforts in a highly matrixed organization and strong evidence of communications experience and impact
Minimum 5 years scientific/medical experience in global pharmaceutical industry environment
Minimum 3 years medical information experience
Thorough understanding of legal/regulatory/compliance requirements and guidelines with respect to medical information in the pharmaceutical industry
Demonstrated ability to rapidly adopt and utilize new digital technology and other resources
Excellent written and oral communication skill
Ability to work independently and lead a team without direct reporting lines in a matrix environment with proven flexibility and organizational awareness
Ability to recognize and anticipate problems and create and manage complex projects
Ability to effectively collaborate across multiple functions and regions including Medical, Medical Information, Operational Excellence and Information Systems
Must be decisive, exercise good judgement in decisions, organize and with the ability to prioritize a large workload.
Ability to manage resources, program and multiple projects
Flexibility to travel 20% of the time, including potentially international travel
Breath of diverse leadership experiences and capabilities, including the ability to influence and collaborate with peers, oversee and guide the work of other colleagues to achieve meaningful outcomes and deliver impactful value.
Preferred
Master's Degree in Health-Related Sciences or Business Administration/IS Preferred: MD, PharmD, PhD in Health-Related Sciences or MBA, MS, MIT, MIS
